The training model: Doc first, Loom second, checklist forever

Each platform gets three artifacts, produced in this order:

  1. The SOP document (this library). The written doc is the source of truth — it survives UI changes better than video, is searchable, and is what you update when a platform changes a menu.
  2. A Loom walkthrough recorded while following the doc. The video shows the real screens; the doc stays open in a second window so the trainee sees the doc and the platform side by side.
  3. A one-page checklist (the "Definition of Done" section at the end of each SOP) that the trainee actually works from after training. Docs teach; checklists execute.

Record one Loom per SOP, chaptered — not one giant video. Keep each under ~15 minutes; split Meta into two if needed (Page + portfolio / Instagram + linking).

For every Loom:

  1. Cold open (30 sec): what we're building, what you need before starting (read the SOP's "Before you start" list on screen).
  2. Live walkthrough: follow the SOP's numbered steps in order, on a real or sandbox account. Say the step number out loud ("Step 4: click Settings, then Linked accounts") so the video maps to the doc.
  3. The gotchas: pause on every ⚠️ callout in the SOP and explain why it matters — these are where trainees fail.
  4. Definition of Done: end by scrolling the checklist and showing the finished asset.

Recording tips: 1080p minimum so UI text is legible; hide bookmarks bar and personal notifications; use a demo/sandbox client, never a real client's private data on screen; enable Loom chapters and paste the SOP's step headings as chapter titles; link the SOP doc in the Loom description and link the Loom at the top of the SOP doc.

Capturing the instructional images

Every SOP has 📸 markers at the moments that need a screenshot. Capture them during the same session you record the Loom:

  • Crop tight to the relevant panel/button; add an arrow or box on the click target.
  • Blur any real emails, phone numbers, or client names before publishing.
  • Name files platform-step-XX-description.png and store them next to the SOP so docs and images version together.

How to run a training cohort

  1. Assign pre-work: trainee reads the SOP doc (15 min) and watches the Loom (15 min) before the session.
  2. Live lab (best training route): trainee shares their screen and performs the setup on a sandbox business while the trainer watches. People retain doing, not watching. One platform per session.
  3. Certification task: trainee sets up a complete presence for a dummy brand end-to-end and submits screenshots matching every item in the Definition of Done checklists. Trainer reviews against the checklist, not from memory.
  4. First real client is shadowed: trainer reviews the built assets before they go live.

Keeping the SOPs true

Platform UIs change constantly. Assign one owner for this library. On a set cadence (quarterly is realistic), the owner re-runs each SOP on a sandbox account, fixes drifted steps, updates the "Last reviewed" date, and re-records only the Loom chapters that changed. If a trainee hits a step that doesn't match reality, that's a bug report — they flag it, the owner fixes the doc within the week.
